The Office Assistant is an entry level position and will responsible for supporting business operations through administrative tasks, as well as providing courteous and professional direct interaction with prospective and current property owners and tenants.
This position is often the face of Real Property Management North Puget Sound and requires candidate to be friendly and outgoing while maintaining the utmost professionalism.
Responsibilities Assistant for Office Manager Efficiently Communicate with Team Members, Owners, Tenants and Vendors Cheerfully answer all phone calls and transfer to corresponding department Answer office doors in a professional courteous manner always (have guests wait in lobby while you inform team member their guest is here.
) Assist Office Manager with any requested tasks Scanning, filing and organizing files.
Calling owners, tenants, vendors, team members about issues.
Accepting and signing in keys.
Assist in Accounts/Payable & Accounts/Receivable Reaching out to owners, tenants, vendors to collect outstanding balances.
Enter credits or debits on Appfolio.
Rental History Verification for Tenants When requested from other rental companies this role is responsible for completing any the rental history/landlord verification form requests for previous or current tenancies.
Preparation of Tenant Compliance Notices Preparation of Tenant 10 Day notice to comply or vacate, 14 day pay or vacate, payment plan notices, ERPP (eviction resolution pilot program) notices and serving/posting/mailing said notices.
Send signed copy of ERPP Notices to the ERPP Maintain a tracking form for all notices and follow-up and make sure they are compliant or not.
Coordinate 10 Day compliance checks with maintenance team.
Attorney follow-up and 14 Day Pay or Vacate notices.
HOA Notice Compliance process handled Renter's Insurance Compliance Ensure that all tenants have active renter's insurance.
Document all renter's insurance policies on applfolio tenant page.
Communicate with tenants that have renter's insurance that is outdated and get current info Provide support for the office Maintain the prospective tenant database Manage office supplies inventory Other duties as assigned Qualifications 0-1 years' related experience Highly organized with strong time management skills Naturally driven to provide excellent customer service Proficient in Google Business Suite and Word Detail oriented Excellent written and verbal communication skills Ability to work cooperatively and collaboratively with all levels of employees and management Exceptional interpersonal skills Must be dependable and able to work in a fast-paced environment Notice Property Management Business Solutions LLC is the franchisor of the Real Property Management franchised system.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
